Using of keyboard to punch-in

This document will guide you to getting started by following a sample for a company in what all employees have the same shift schedule monday to friday and day-off on saturday and sunday.
The punch-in will be done by using the keyboard.

Step by step sample

Starting up the CHRON Time Card Software

1) If the program is still in the trial period, you will be asked for registration. To continue without registration, click on the 'NO' command

Adding the first employee

2) Click on the New Profile command
3) Type the employee name, for example: John Smith
4) Type a digital key (up to 8 digits), for example: 101
5) Click the command to close the profile.

Adding the shift of the new employee

6) Click on the Shifts command
7) Click on the New Shift command
8) Select the Set Hours type
9) Click on the command
10) Type the Shift Name, for example: Administrative Time

Set the punch-in time for the day shift, for example: 08:30 am

11) Click on the clock at the right of the number
12) Click on the number in the first line
13) Click on the number in the second line
14) Click on the command

Set the punch-out time for the day shift (going out for lunch), for example: 12:30 pm

15) Click on the clock at the right of the number
16) Click on the command
17) Click on the number in the first line
18) Click on the number in the second line
19) Click on the command

Set the punch-in time at the afternoon shift, for example: 13:30 pm

20) Click on the clock at the right of the number
21) Click on the command
22) Click on the number in the first line
23) Click on the number in the second line
24) Click on the command

Set the punch-out time at the end of the day, for example: 17:30 pm

25) Click on the clock at the right of the number
26) Click on the command
27) Click on the number in the first line
28) Click on the number in the second line
29) Click on the command
30) Click on the "Fechar" command
31) Click on the command to close the Shifts table

Autoschedule programming

32) Click on the Autoschedules command
33) Click on the New command
34) Type the autoschedule name, for example: Administrativo
35) Select for Monday, the shift Administrative Time
36) Repeat the same for Tuesday, Wednesday, Thurday and Friday
37) Select for Saturday and Sunday the shift Day Off
38) Click on the Close command
39) Click on the command to close the Autoschedule list
40) Select the employee John Smith on the list
41) Click on the Edit Profile command
42) Select the Autoschedule Autoschedule Administrative in the employee Profile
43) Click on the command command to close the profile.

Schedule adjusting

44) Click on the Schedule command.
45) Select the start date of the month, for example: 5
46) Select the end date of the month, for example: 4 (on the next month)
47) Click on the Update command
48) Click on the command to close the Schedule

Setting up the KEYBOARD for the employees punch-in

49) Click on the Setup command
50) Click on the Add Device command
51) Select the Generic in the model field
52) Select the Keyboard connection field
53) Click on Apply command
54) Click on the command to close the Setup window


Testing the Punch-In

55) Type the digital key 101 on the text field that appears in the left bottom of the screen
56) Press ENTER
57) Verify the sound and message showing that the punch-in was done succesfully
58) Depends on the time and schedule, the program will do the input to the punch-in. The software will compare the punch-in time with the shift programmed in the schedule. This allow to detect in intelligent way if the employee has forgot to punch-in or out.

Time Sheet Reports

59) Select the employee on the list
60) Click on the Reports command
61) The program will ask if you want to create a report for the current period. Click on YES
62) Select the report on the list
63) Click on the Print command
64) To see the complete report, click and drag the paper (holding down the mouse button), the same way that a image viewing software
